Who should I work with?

The Development Office will have primary responsibility and coordination for all face-to-face contact including solicitation (e-mail, phone, etc.) with all foundations. Where it is determined that such relationships will help further the University's relationship with the Foundation, they may include a representative from the OSP in such meetings when doing so may strengthen proposal preparation activities.

The Office of Sponsored Programs will have primary responsibility for coordination and submission of written proposals requesting grants for programs or activities where such proposals have a clearly defined scope of work, targeted deliverable(s), and reporting requirements so that these can be tracked through UVU post-award grant compliance procedures. Where it is determined that a personal relationship with the representative(s) of the foundation will help further the University's potential for success, OSP will request that an officer of the Development Office arrange a meeting and/or hand deliver the written proposal to the foundation.

What are the policies for event sponsorship?

Event sponsorships are covered under the University Policy for fund raising and must be coordinated with the Development Office.

Can we organize a bake sale, silent auction, auction or similar programs?

Yes you may. If you soliciting a business or individuals in the community to support these with goods and/or services, you must coordinate those requests with the Development Office.

These programs are referred to as transactional fund raising. The Development Office focuses on transformational fundraising. If you would like to consider more transformational opportunities that may benefit your program, please contact the Development Office.

How am I allowed to collect online donations for my cause/group?

The UVU Foundation has its own customized website specifically for online giving to ensure that all funds are routed to their proper accounts. Groups are welcome to contact that Foundation to set up their own unique URL and giving page to solicit these online donations. To do this, contact Jessica Ballard at Jessica.Ballard@uvu.edu or 801-863-7275. Utilizing third-party sites for online giving such as PayPal, Google Checkout, etc. is not permitted by the University or Foundation.

Can my program accept Gifts in Kind?

Yes, but these activities must be coordinated with the Development Office to ensure the proper handling of the gift and the proper receipting, recording and acknowledgement of the gift.

Although there are many definitions of gifts-in-kind and many prospective donors willing to support the university, the UVU Foundation may not accept gifts-in-kind that do not fall within one of the categories set forth below. In order to accept a gift in kind, it must be determined whether the gift has an educational value that can be utilized by the University or if the gift can be converted to cash.

What are the two types of Gifts in Kind?

  1. Gifts in Kind under $5,000 do not require an appraisal. The reporting of the gift is the responsibility of the donor. The UVU Foundation sends a receipt acknowledging the goods that were donated. As per IRS Regulation, this receipt does not include an amount. To start the process to receive a Gift in Kind from a Donor valued under $5,000, please use this form.
  2. Gifts in Kind valued over $5,000 require an appraisal. The reporting of the gift is the responsibility of the donor. The appraisal is required for the donor to take a charitable gift deduction on their tax return. They submit the appraisal directly to the IRS. The UVU Foundation uses the appraisal to assign an internal value to the gift. The UVU Foundation sends a receipt acknowledging the goods were donated. As per IRS Regulation, this receipt does not include an amount. To start the process to receive a Gift in Kind from a Donor valued over $5,000, please use this form.

Do alumni donations have to be made to the University, or can/should they be made directly to an office or department?

All donations come through the UVU Foundation. The Foundation is a 501(c) (3) organization, which means that donors can receive tax benefits from making donations, but only through the Foundation. When you are ready to start taking donations, The Alumni Association can set up a donor site for you to collect the donations. Donations are made directly to UVU and deposited in a Foundation account. The funds are then transferred to your Chapter/Society Scholarship fund (or wherever the donor asks that they be placed).

If an account can be created and donations made to UVU, what tax implications does that have? For example, would we have to file taxes on donations, interest, etc.? Or would we be tax exempt? How do we become officially tax exempt?

All tax returns and audits are taken care of by UVU. It's a complicated and expensive process for an organization to gain 501(c) (3) status. The alumni association has chosen to operate under the umbrella of the Foundation, in order to avoid the expense and bother of maintaining tax exempt status.

How do I solicit donations or fundraise (including door prizes) for our department/office?

As per University policy, all fundraising requests must first be vetted by the Development Office. For areas that are represented by a development officer, these requests should go to them, which include:

For all other areas, the request come to the Sr. Director of Development. The purpose of this is twofold. First, we want to make sure that we do not have any conflicting requests with companies that we may solicit or have solicited for a major gift. Second, we want to make sure we work with the soliciting entity to handle and process the gifts correctly when they come in. 

Start by contacting the Sr. Alumni Director or Asst. Alumni Director at 801-863-8179 or designee prior to approaching a potential donor, sponsor or contributor for support. Under no circumstances should a proposal be submitted to a corporation or foundation without first receiving written approval of the Vice President for Development or Sr. Director of Development. The approval process is as follows:

  1. Obtain a copy of the appropriate UVU solicitation review form.
  2. Complete and submit the UVU solicitation review form through the appropriate channels Sr. Director of Alumni Relations or Asst. Alumni Director to the Vice President or Sr. Vice President of Development.
  3. The required information should be completed and submitted in electronic and paper form, including any proposal or written request, to the Office of Development and Alumni Relations no fewer than 15 business days before the event date, delivery deadline, or desired mailing date.

  • Named Specific Annual Fund: $2,000
  • Named Annual Scholarship: $2,000
  • Endowed Scholarship (minimum): $30,000
  • Endowed Full Tuition Scholarship: $100,000
  • Endowed Athletics or Academic Full Ride Scholarship: $250,000
  • Endowed Teaching/Center Fellowship: $100,000
  • Endowed Professorship: $250,000
  • Endowed Distinguished Professorship: $500,000
  • Endowed Chair: $1,000,000
