Event Planning Guide

  • Step 1 : Scheduling a Room

Start by contacting our Student Center Office for room availability.  Scheduling of any of the conference rooms, The Grand Ballroom, or Centre Stage in the Sorensen Student Center is handled through the Student Center Office at 801-863-8612.
Other campus facilities can be scheduled through the Campus Scheduling Office at 801-863-8883. All UVU facilities are smoke-free buildings. Alcoholic beverages are prohibited. Catering services are available anywhere on UVU's main campus.
Rooms outside of the Student Center are subject to an additional delivery fee.

  • Step 2 : Selecting a Menu

Our menu is listed online with a wide selection to match your event. Contact our Catering Services department to discus any questions you might have concerning menu options. Menu choices are available for all preferences including vegetarian and vegan meals. It is your responsibility to know the dietary needs of your guests before the date of your event. If regular choices on our menu do not reflect the needs of your guests, please give us adequate advanced notice and we will gladly prepare a special menu. Special meals cannot be prepared at the time of the event.

  • Step 3 : Placing an Order

Before you call us to place your order here is a list of the things we will ask you.

  • Name of Event
  • Contact Person
  • Billing Info
  • Date of Event
  • Scheduled Room
  • Serving Time
  • Estimated Guest Count
  • Menu (Including if you have guests with special dietary needs)
  • Event themes or other important event instructions

You can place an order with UVU's Catering Services by Phone or E-mail.
We recommend placing your Catering Order at least 5 business days BEFORE your event. Our Catering Staff will contact you BEFORE your event to confirm services.
Any last minute changes should be made at this time.

  • Step 4 : Paying for your Event

Off Campus groups are required to make a down payment BEFORE their event with a final billing sent AFTER the event. Late fees may be added to any event ordered within 48 hours of the time of service. See your contract or our policies page for more info. On Campus departments or clubs will be billed AFTER their event to the Index Code provided.

Costs and Services

All meal prices include table service, standard table decoration, room set up, clean up, full linen service, and room rental. Buffet table decorations and center pieces when provided are the property of UVU. A charge will be assessed in the event of removal of any of these items.

*An additional charge of 15% of the event total per hour may be assessed for events that do not serve at scheduled times. Prices do not include sales tax of 7.85% and a 18% service charge.

Deliveries outside of the Student Center are subject to additional delivery fees. Call our office for detailed information.

All menu items and prices are subject to change without notice.

UVU is the sole provider of food and beverage on campus.

No outside food or beverage may be brought in.
