Campus Scheduling Procedures
All areas of the campus must be scheduled for use. Most areas of the campus (except as stated below) are scheduled through the Campus Scheduling Office. Requests may be made Monday through Friday (except for holidays) between 8 a.m. and 5 p.m. by calling (801) 863-8883 or by e-mail at firstname.lastname@example.org Non-UVU groups are assessed a rental fee and are required to provide proof of insurance or purchase insurance through the University before the areas will be scheduled. Some events may require approval from the UVU Fire Marshall (801-863-8021) or the UVU Safety Office (801-863-7977 or 801-420-7866).
The main floor areas of the Activity Center are scheduled by calling (801) 863-8657. Classrooms located in the Activity Center are scheduled through the Campus Scheduling Office.
All athletic fields are scheduled by calling (801) 863-8998.
The Ballroom has a capacity of 720 and is scheduled through Student Center Scheduling by calling (801) 863-8612.

Center Stage has a capacity of 420 and is scheduled through Student Center Scheduling.
Classrooms may be scheduled after the class schedule upload is complete, usually mid-way through the previous semester, (i.e., classrooms for Spring semester will be available for scheduling mid-way through Fall semester). Classrooms may be scheduled when classes are not in session. Food is not allowed in classrooms.
The Commons area has a capacity of 50 and is scheduled through Student Center Scheduling.
Concourses are scheduled through the Campus Scheduling Office. Those available for scheduling include the Auto Trades, Business Building (connecting to the Student Center), Computer Sciences (4th level connecting to the Library), Gunther Trades (6th level connecting to Computer Science), and the Hall of Flags. Approval from the UVU fire marshal must be obtained for each event requested in concourses not listed.
CSE Exhibit Areas
The exhibit area located on the fourth level of the Computer Sciences and Engineering building (CS 400c) has a capacity of 80 and is scheduled through the Campus Scheduling Office. To avoid disrupting classes, this area is only available during semester breaks.
All conference/meeting rooms, except for those located in the Student Center, are scheduled through the Campus Scheduling Office. Conference/meeting rooms scheduled through the Campus Scheduling Office range in size from a capacity of 8 to 20 people, and are located throughout the campus. Conference/Meeting rooms located in the Student Center, with the exception of SC 213c (scheduled through the Campus Scheduling Office), are scheduled through Student Center Scheduling. Student Center conference/meeting rooms range in size from a capacity of 50 to 300. Food is allowed in all conference/meeting rooms.
The Courtyard has a capacity of 300 and is scheduled through the Campus Scheduling Office. It is available for scheduling after May of each year.
Hall of Flags
The Hall of Flags is scheduled through the Campus Scheduling Office. Available space is located south of the classroom (SB 115) on the north end, and north of the Career Employment Center on the south end. With the exception of UVU sponsored fairs, blood drives, etc., four individual groups (one table each) may occupy the Hall of Flags each day (except holidays). Up to two of those groups may be employee recruiters (sponsored by Career Employment Services). Each individual group will be placed, on a first come, first served basis, at the northwest, northeast, southwest, and southeast areas of the concourse. Displays must be located so that they are not within ten feet of an exit, exit-way, cross-point, etc. The maximum width of displays (from the wall) is ten feet. The displays must be temporary and are restricted to a week or less. No audio or video is allowed at the north end of the concourse to avoid disrupting classes held in SB 115. Food is allowed in the concourse; however, cooking is not allowed unless approved by the UVU fire marshal. All groups providing food will be charged a clean-up fee assessed by Custodial Services according to the amount of clean-up time needed.
Requests for media needs are made through the Multimedia Department at (801) 863-8909. All groups are required to supply their own equipment for Power Point presentations.
All areas located in the Events Center are scheduled by calling (801) 863-8767.
All groups are required to supply their own extension cords. No tape, thumb tacks, or push pins are to be used except for in designated areas. Permission from College Relations (863-8206) or the Physical Plant (863-8130) is required for use of designated areas.
Health Professions Building
All areas located at the Health Professions Building are scheduled by the Campus Scheduling Office.
The Ragan Theater has a capacity of 400 and can be scheduled by calling (801) 863-8799.
Requests for tables and chairs for all areas, except the Events Center, Ragan Theater, or any areas scheduled by Student Center Scheduling, are made through the Campus Scheduling Office and must be made five working days prior to the scheduled event. Tables and chairs will not always be available if several events are scheduled for the same date. Non-campus groups will be assessed a $25 per table fee.
Requests for tablecloths/skirting are made through Student Center Custodial at (801) 863-8869.
Most areas are scheduled on a first come, first served basis. However, when receiving multiple requests, the Campus Scheduling Office will prioritize them in the following order:
- First Priority: President's Office/Staff
- Second Priority: UVU Faculty/Staff and ASUVU
- Third Priority: UVU Sponsored Groups
- Fourth Priority: Off-Campus Groups
