Position: Graduation Coordinator

Position Summary:

The Coordinator for Graduation reports directly to the Assistant Director of Graduation and GTS Project Manager. Performs as the lead Graduation Advisor within the Graduation Office and is responsible for coordinating the Graduation office functions and the disseminating of new information to all Graduation staff.   Advisor responsibilities include informing all students, advisors, faculty, and staff of  University policies and procedures relating to all graduation requirements. Additionally, they are responsible for the final approval of all degrees granted in accordance with the policies set forth by the faculty, Northwest Accreditation, and the Utah State Board of Regents. Other duties include the awarding of degrees in the computer system, reviewing of applications and the creating and issuance of all diplomas. Graduation also plays a substantial roll in the Commencement Activities  each year.  The Coordinator will also serve on the Commencement Committee for those activities.

 

   

 

 

 

 

Essential Functions, Major Duties, and/or Accountabilities:
  • Coordinates all of the activities within the Graduation office and act as lead Graduation Advisor for the dissemination of information among the graduation advisors. 20%
  • Advises  students, faculty, staff and advisors on Graduation requirements, policies, and procedures. 20%
  • Assists students in the completion of their applications for graduation.  20%
  • Performs final evaluations of requirements and authorize the awarding and distribution of degrees. 30%
  • Prepares and distributes reports on graduation statistics to various entities across campus. 5%
  • Prepares for and assists with the annual Commencement Activities 5%

 


Supervisory Responsibilities:

Direct supervision of Assistant  to Graduation and Transfer Credit Assistant (S99999)  


Special Requirements of the Position:

Some nights the office is open until 6:00 p.m. and some later times during the Commencement season. 


Qualifications:

Graduation from an accredited institution with a bachelor's degree; or an associate's and two years of experience related to the summary of duties; or any combination of education and/or experience related to the summary of duties totaling four years.    

  • Knowledge of  content  and  curriculum.
  • Knowledge of graduation requirements.
  • Knowledge of student advisement methods & techniques. 
  • Skill in word processing, spreadsheets and Database software -Microsoft Office Suite and Banner preferred.
  • Skill in filing & record management.
  • Skill in training and supervision.
  • Skill in conflict resolution.
  • Ability to work independently on a multi-task level.
  • Ability to prioritize and follow-through to completion.
  • Ability to deal with diverse personalities as well as management personnel.
  • Ability to solve problems creatively.
  • Ability to anticipate departmental and student needs.
  • Ability to communicate well both orally and in writing to a diverse group or individual.
