Position Summary:

Serves as Compliance/VA Certifying Official for the University.  Advises all students receiving VA Educational benefits from initial entrance testing through their graduation.  Monitors and tracks all course work taken by individual students and is accountable to the VA for maintaining appropriate and accurate records as required by VA regulations for the  VA  to submit payments to the Veterans.

Essential Functions, Major Duties, and/or Accountabilities:
  • Serves as the Compliance/VA Certifying Official for the University by approving all submissions to the VA as to their accuracy and compliance with the VA rules and regulations.
  • Informs new veterans as to their eligibility for Veterans Education Benefits to include all the various GI Bill chapters with their individual rules and regulations.
  • Informs prospective new, transfer and continuing students eligible for Veterans Educational Benefits in aspects of all academic programs offered at UVU.
  • Coordinates the certification of VA Chapter 31 rehabilitation students with various case workers across the United States, campus bookstore, Business office, Parking services, etc, to meet their special needs and regulations.
  • Coordinates the certification of Flight Training with the various providers across the United States to ensure they are VA SAA approved and students are complying with the VA Regulations.
  • Informs students of specific admission and registration procedures and counsel with student on career options/degrees consistent with their needs, goals, educational and personal plans.
  • Interprets test scores, including ACT, SAT, CLEP, DSST and Accuplacer and suggest appropriate levels of course work.
  • Determines special situations and/or needs of incoming students and refer them to University, Community and Veteran services.
  • Monitors and approves all course work selections from the students first semester at UVU until Graduation.
  • Counsels with students regarding their academic performance to help determine alternatives to help them out of academic difficulty.
  • Prepares and submits appropriate VA electronic paperwork each semester to request payment to students for enrollment in approved programs including all changes to their enrollment status on each individual student.
  • Prepares and submits appropriate forms, letters, and approvals for VA tutors, certifying enrollment to other institutions, loans, VA Champs, etc.
  • Enters appropriate information for each Veteran into the current Student Records System (Banner) to be used in monitoring and reporting functions.
  • Maintains confidential hard-copy records and of all students receiving benefits and Electronic files for students who have received benefits.
  • Notifies all students by various means of any VA Policy changes, or actions taken on their records or to their pay eligibility.
  • Coordinates with department chairpersons, faculty members and the University Registrar regarding progress and attendance in class.
  • Enforces VA policies and Procedures and assist with the annual and three year official VA audits of all related Veteran Files.
  • Prepares annual approval for the SAA at the Board of Regents regarding the program offerings including any significant changes to programs or policies offered at UVU.
  • Submits to the VA for approval each semester, block, or term dates for their appropriate pay information.
  • Evaluates official transcripts of military training for acceptance of military related course work and on-the-job training/experience with respect to military training.
  • Serves on and supports the campus Military Veterans club.
  • Assists these students in the Graduation application process.
  • Assists the office with Commencement Activities.

Graduation from an accredited institution with a bachelor's degree; or an associate's and two years of experience related to the summary of duties; or any combination of education and/or experience related to the summary of duties totaling four years.    

  • Knowledge of  content  and  curriculum.
  • Knowledge of Veterans Educational Benefits regulations.
  • Knowledge of student advisement methods & techniques.
  • Skill in word processing, spreadsheets and Database software -Microsoft Office Suite and Banner preferred. 
  • Skill in filing & record management.
  • Skill in conflict resolution.
  • Ability to be highly detailed in work related issues. 
  • Ability to work independently on a multi-task level. 
  • Ability to prioritize and follow-through to completion. 
  • Ability to deal with diversity of personalities.
  • Ability to solve problems creatively.
  • Ability to anticipate departmental and student needs.
