Digital Signage Usage Guidlines

Only registered student organizations, campus governance units, academic units, campus departments/offices, and College committees are permitted to display content (digital slides and digital video) on the Digital Signage system. This content must be UVU related.

The creation of content for display on the Digital Signage system is the responsibility of the group presenting the information to the campus community.  See Digital Signage Content Guidelines for helpful information about creating digital slides and digital video.

Content must be submitted electronically to digitalsignage@uvu.edu a minimum of five (3) business days prior to the first date the content is to be displayed on the Digital Signage system. Content submissions must include the first name, last name, and phone number of the submitter, the date the content should start running on the Digital Signage system, and the digital slide or digital video file as an attachment to the email.

University Marketing & Communications and the Campus Image Committee reserves the right to address concerns or make suggestions related to Digital Signage content in an effort to reinforce the educational mission of the College.

  • Announcements will run for a maximum of 14 day.
  • Video segments can be a maximum of 30 seconds in length, though 10-15 seconds is recommened.
  • Long video segments (30 seconds +) will be displayed on "Entertainment" displays located in the Library cafe and the Valley View room. These segments will run for a maximum of 2 days.
  • Digital Signage content that promotes or advertises the occurrence of a series of regularly scheduled meetings, activities or events will not be approved for display.
  • Digital Signage content that promotes or condones behavior that violates College policies, or local, state or federal law will not be approved for display.
  • Advertisement of commercial products or services on the Digital Signage system is prohibited.
  • The use of solid red backgrounds in digital slides and digital video is reserved for Emergency Communications only. Digital Signage content submitted with a solid red background will not be scheduled for display.
  • To optimize the management of Digital Signage content, University Marketing & Communications reserves the right to determine what content is displayed at which Digital Signage location(s) and determine the duration, dates, and times content is displayed.
  • Content that violates Digital Signage Policy or does not meet the minimum Digital Signage Content Requirements will not be approved for display.

Responsibilities

The model for the distribution of responsibilities for the digital signage system is as follows:

  • Campus Departments, Organizations & Units: Content generation, submission and maintenance
  • College Marketing : Content review - Overall look and feel of content presentation, University branding and image for digital signage
  • Office of Information Technology (including Media services): System administration, technical implementation, automating content integration with other systems
  • Executive Infrastructure and Planning Committee (EIP) & Campus Image Committee; Establish and oversee digital signage policies,  procedures & standards

Goals

  • Provide a single solution digital signage system that serves the informational, promotional, branding, entertainment and emergency broadcast needs of the University as a whole as well as individual schools and departments.
  • Provide a low cost of operation solution that delivers a variety of fresh, relevant content by utilizing and adapting content generation, distribution and approval methods already being used in existing systems and  processes.
