International Travel Registration (Non Study Abroad)

Update regarding International Travel and Covid-19

  • Due to the Covid-19 pandemic, Utah Valley University has officially cancelled all travel through June 26 (with possible extension through the end of the summer or beyond). All international travel is currently under a U.S. State Department Level 4 “Do Not Travel” advisory and a Center for Disease Control (CDC) Level 3 Warning with an indefinite timeframe. 

    The Office for Global Engagement will not approve international travel unless these warnings are lifted. All approvals for international travel in Summer and Fall 2020 will be tentative and subject to reversal at any time. We highly discourage potential travelers to make any further international travel purchases or commitments.  Airline companies, hotels, and travel agencies may not offer a refund in the case of travel disruptions or cancelations.  Most countries currently require a 14-day mandatory quarantine upon arrival.

    Per UVU Policy 252, approved travelers may be required to return (at department or personal traveler expense) if US State Department or CDC warnings are unexpectedly reinstated even after travel has commenced. UVU’s international insurance carrier does not cover costs for travel disruptions like quarantines or missed flights occasioned by COVID-19. Remember that departments and/or individual travelers (faculty/staff/students) are responsible for all non-recoverable costs of cancelled programs.

  • All UVU faculty, staff and students who travel abroad on bona-fide university business are required to register their travel plans with the Office for Global Engagement. To ensure the safety of individuals the University establishes travel authorization, insurance, security, and training requirements.
  • Campus policy requires all faculty, staff and students traveling abroad to purchase International Insurance rom UVU's Insurance Provider.
  • Travelers must comply with the requirements established in all University policies, including policies 142, 251, & 252.
  • The following requirements must be completed at least 4 WEEKS prior to departure. Last minute registration(s) may not be processed on time and may impact your travel plans. 
  • If you do not have a passport you will need to apply for one at least 2 months prior to you departure. Click here for information on applying for a passport.

Faculty/Staff traveling without students

  1. Submit a travel request in Concur (accessible through myuvu.edu). Request must reach the Office for Global Engagement at least 4 weeks before departure.
  2. Complete the Faculty International Travel Registration online form
  3. Sign & submit the Assumption of Risk & Release
  4. Complete the Export Control (online/Docusign form). You must complete the Export Control Training (if you have not done so already in the last two years).
  5. International Health and Evacuation Insurance: 
    1. You will receive an email from Customer Service from UVU's insurance provider, GeoBlue, that instructs you to register using a Certificate Number provided in the email so that you can print out an insurance ID card. 
    2. The cost of insurance is $20 per week or $65 per month. Your Department may be billed for this insurance. You will receive an email with instructions for paying for the insurance from internationaltravel@uvu.edu if you are responsible to pay for your own insurance or for any approved accompanying guests. 

Note: UVU Employees and Students planning travel to regions under US Department of State Travel Warning or CDC Warning Level 3, must submit an Exemption Request for Travel and an High Risk Travel Waiver/Release form to the Office for Global Engagement. Both forms must also be sent to veronica.caballero@uvu.edu.

 

Faculty/Staff traveling with at least one student (non study abroad)

  1. Submit a group travel request in Concur (accessible through myuvu.edu). Request must reach the Office for Global Engagement at least 4 weeks before departure.
  2. Complete the Faculty International Travel Registration online form (includes online safety training videos)
  3. Sign & submit the Assumption of Risk & Release
  4. Complete the Export Control (online/Docusign form). You must complete the Export Control Training (if you have not done so already in the last two years).
  5. International Health and Evacuation Insurance: 
    1. You will receive an email from Customer Service from UVU's insurance provider, GeoBlue, that instructs you to register using a Certificate Number provided in the email so that you can print out an insurance ID card. 
    2. The cost of insurance is $20 per week or $65 per month. Your Department may be billed for this insurance. You will receive an email with instructions for paying for the insurance from internationaltravel@uvu.edu if you are responsible to pay for your own insurance or for any approved accompanying guests. 
    3. Students traveling as part of the group will be registered for their own insurance separately.
  6. Any contracts and/or agreements that require a signature must go through a review by the Global Legal Advisory Board.
  7. Register travel plans through the U.S. Department of State’s Smart Traveler Enrollment Program (STEP)  

Note: UVU Employees and Students planning travel to regions under US Department of State Travel Warning or CDC Warning Level 3, must submit an Exemption Request for Travel and an High Risk Travel Waiver/Release form to the Office for Global Engagement. Both forms must also be sent to veronica.caballero@uvu.edu.

 

Non-UVU Participants

UVU Faculty/Staff program directors are responsible for providing the Office for Global Engagement (GEO) with lists of any non-UVU participants (including accompanying adults and minors and/or members of the community) travelling on UVU programs. GEO will approve non-UVU participants according to UVU policy 252. The program director will receive an email from internationaltravel@uvu.edu with instructions for registration and payment.

Approved Non-UVU participants must complete the following:

  1. International Health and Evacuation Insurance: Non-UVU participants will receive an email from Customer Service from UVU's insurance provider, GeoBlue, that instructs them to register using a Certificate Number provided in the email so that they can print out an insurance ID card.
  2. Sign & submit the Assumption of Risk & Release. Minors under the age of 18 must have a parent or guardian completethe Assumption of Risk & Release (under 18)
