International Travel Guidelines

  • All UVU faculty, staff and students who travel abroad on bona-fide university business are required to register their travel plans through Concur. To ensure the safety of individuals, University policy requires travel registration and insurance through the Office for Global Engagement.
  • Concur will only be approved after the funds to cover International Travel Insurance are collected.
  • All approvals for international travel will be tentative and subject to reversal at any time.It is critical that University departments and employees planning international trips submit a travel request in Concur, and receive full approval of that travel request, before making any travel arrangements.  Airline companies, hotels, and travel agencies may not offer a refund in the case of travel disruptions or cancelations.  Some countries may also require a 14-day mandatory quarantine upon arrival.
  • All international travelers are required to be vaccinated.There are no exceptions.
  • The Concur request will not be approved if the traveler is not vaccinated.
  • All faculty/staff must purchase their airfare via Christofferson Travel via Concur and must show proof of vaccination before booking tickets.
  • Faculty, Staff or Students should be prepared to pay out-of-pocket for possible COVID tests or quarantine stays if required by the host country for entry or exit.
  • University Policy follows U.S Department of State and CDC International Travel Advisories.
    • Travel to countries that are listed as Level 4 "Do Not Travel" on the U.S Department of State and the CDC Level 4 "Very High" will not be approved.
    • All international travelers will be required to complete a High Risk Travel Waiver . 
    • Be aware that travelers must comply with entry requirements issued by the foreign governments. Currently, the United States requires documentation to be completed before returning.
  • Per UVU Policy 252, approved travelers may be required to return (at department or personal traveler expense) if US State Department or CDC warnings are unexpectedly reinstated even after travel has commenced. UVU’s international insurance carrier does not cover costs for travel disruptions like quarantines or missed flights occasioned by COVID-19. Remember that departments and/or individual travelers (faculty/staff/students) are responsible for all non-recoverable costs of cancelled programs. Travelers must comply with the requirements established in all University policies, including policies 142251, & 252.
  • All travel requirements must be completed at least 4 WEEKS prior to departure. Last minute registration(s) may not be processed on time and may impact  travel plans. 
  • Passports should have at least six months of validity when traveling internationally. Click here for information on applying for a passport.

Faculty/Staff traveling without students

  1. Submit a travel request in Concur (accessible through myuvu.edu). Request must reach the Office for Global Engagement at least 4 weeks before departure. 
  2. Complete the Faculty/Staff International Travel Registration online form
  3. Sign & submit the Assumption of Risk & Release (online form)
  4. Complete the Export Control (online form). You must complete the Export Control Training (if you have not done so already in the last two years).
  5. All international travelers will be required to complete a High Risk Travel Waiver
  6. International Health and Evacuation Insurance: 
    1. You will receive an email from Customer Service from UVU's insurance provider, GeoBlue, that instructs you to register using a Certificate Number provided in the email so that you can print out an insurance ID card. 
    2. The cost of insurance is $20 per week or $65 per month. Your Department may be billed for this insurance. You will receive an email with instructions for paying for the insurance from internationaltravel@uvu.edu if you are responsible to pay for your own insurance or for any approved accompanying travelers. 

Faculty/Staff traveling with at least one student (non study abroad)

  1. Submit a group travel request in Concur (accessible through myuvu.edu). Request must reach the Office for Global Engagement at least 4 weeks before departure.
  2. Complete the Faculty/Staff International Travel Registration online form (includes online safety training videos)
  3. Sign & submit the Assumption of Risk & Release (online form)
  4. Complete the Export Control (online form). You must complete the Export Control Training (if you have not done so already in the last two years).
  5. All international travelers will be required to complete a High Risk Travel Waiver
  6. International Health and Evacuation Insurance: 
    1. You will receive an email from Customer Service from UVU's insurance provider, GeoBlue, that instructs you to register using a Certificate Number provided in the email so that you can print out an insurance ID card. 
    2. The cost of insurance is $20 per week or $65 per month. Your Department may be billed for this insurance. You will receive an email with instructions for paying for the insurance from internationaltravel@uvu.edu if you are responsible to pay for your own insurance or for any approved accompanying guests. 
    3. Students traveling as part of the group will be registered for their own insurance separately.
  7. Any contracts and/or agreements that require a signature must go through a review by the Global Legal Advisory Board.
  8. Register travel plans through the U.S. Department of State’s Smart Traveler Enrollment Program (STEP)  

Non-UVU Participants

UVU Faculty/Staff program directors are responsible for providing the Office for Global Engagement (GEO) with lists of any non-UVU participants (including accompanying adults and minors and/or members of the community) travelling on UVU programs. GEO will approve non-UVU participants according to UVU policy 252. The program director will receive an email from internationaltravel@uvu.edu with instructions for registration and payment.

Approved Non-UVU participants must complete the following:

  1. Sign & submit the Assumption of Risk & Release. Minors under the age of 18 must have a parent or guardian sign the online form as well.
  2. All international travelers will be required to complete a High Risk Travel Waiver
  3. International Health and Evacuation Insurance: Non-UVU participants will receive an email from Customer Service from UVU's insurance provider, GeoBlue, that instructs them to register using a Certificate Number provided in the email so that they can print out an insurance ID card.
