Duo Authentication Now Available

Utah Valley University has implemented a new multi-factor authentication system that is available for students and required for employees.

The Duo smartphone app is the most convenient way to use Duo.

  1. First, download the Duo app onto your phone or tablet or purchase a Duo Key Fob to authenticate.
  2. Then click on "Enroll Smartphone / Tablet" link below. The enrollment process just takes minutes but once you start, it is important to complete it.

Why Two-Factor Authentication?

Regent's policy now requires two factor (multi factor) authentication (Policy R345 Section 4.1.3).  Additionally it is the right thing to do to protect student and employee data from compromise. Last year, hackers targeted institutions by using hacked credentials to file taxes for employees, steal employee's paychecks, and to steal from student and employee's bank accounts in addition to stealing Social Security numbers for credit fraud. Two-factor authentication is the most effective way of stopping this type of fraud since you are notified and required to verify every login to your account.

I'm having trouble with Duo. Where can I go for help?

Call, live chat, or email the UVU Service Desk by phoning 801-863-8888 or servicedesk@uvu.edu. In-person help is also available in the Browning Administration Building, room BA-007. If you would like to set up specific training for your department or unit, you may do so by emailing ISOAdmins@uvu.edu.

I do not have a smartphone or tablet, what can I do?

You may purchase a Duo key fob by submitting a Duo Hardware Token Request. The one-time cost for the token is $20. The token can be picked up in person, with a picture ID, at the Security office (BA-002) located in the Browning Administration Building.

** We recommend that you enroll at least two devices so that you'll have a backup way to authenticate should you lose or misplace your first device.

I don't get asked for Duo when I login to My UVU. How do I fix that?

If you are not being prompted for Duo two-factor when you login to My UVU you can go to this link and authenticate to fix this issue. If you continue to have issues with scanning the code please call or email the UVU Service Desk by phoning 801-863-8888 or servicedesk@uvu.edu.

I can't see the entire QR code. What do I do?

If you are unable to see the entire QR code when trying to enroll or reactivate your smartphone you may need to shrink the width of your browser window so if will scale the code smaller. We are working to have Duo fix this issue, our apologies for the inconvenience. If you continue to have issues with scanning the code please call or email the UVU Service Desk by phoning 801-863-8888 or servicedesk@uvu.edu.

Why are we using Duo two-factor login?

Hackers are always searching for new ways to steal or trick you into giving up your password. They are good at it. If you have two-step login turned on, however, you can frustrate their plans. Even if they steal or hack your password, they can’t log in to protected services because they won’t have access to your phone, tablet, or Duo key fob.

This two-step login strategy, or two-factor authentication as it is often called, has been adopted by many universities and corporations because it has proven so effective at curtailing cyberattacks and thwarting phishers.

Duo, a leading provider of two-factor authentication services, was selected by UVU for its affordability, dependability, and its user-friendly approach.

When can I begin using Duo and how do I enroll?

If you have a smart phone or tablet in hand that you are going to use for Duo two-step login, you can begin to protect yourself by enrolling now. When you do, Duo will guide you through a set-up process that just takes minutes.

What types of devices will work with Duo two-factor login?

Here is a list of the devices you can use with Duo to complete your two-step login process:

Who will be using Duo two-factor login?

Two-factor authentication is required for all UVU employees.

What services will require the use of Duo?

Web-based services, such as myUVU, will require the use of two-factor authentication. Other services, such as VPN access, will also require two-factor authentication.

What is a Duo key fob?

The preferred method for two-factor login is to use a smartphone or tablet. A Duo key fob, which is a small device that you can attach to your key chain, can also be used. If you have a Duo key fob (also called a "hardware token") when you go to log in, you will be expected to enter in a code that appears on your key fob to complete the login process.

I do not have mobile data on my smartphone or tablet. How can I complete Duo setup?

If your device is connected to a Wi-Fi network, you won't need a cellular data plan to get push notifications from Duo. Once set up, the Duo app can also generate a passcode without being online, by selecting the key symbol in the Duo app. You can use that passcode to log in.

Can I use Duo when not connected to the Internet? (ie. air travel)

The Duo app on your phone or tablet can still provide a code without any data connection. Tap on the key symbol in your Duo app to get a six-digit code that will work to complete two-factor login.

What if I get a login notification from Duo and I haven't just tried to login?

Anytime you recieve a verification request on your phone that you didn't initiate, select "Deny." Duo will give you two options, "it seems fraudulent" and "it was a mistake." Confirm that denying the login was not by mistake by selecting the "it seems fraudulent" option.

We then recommend you immediately notify the UVU Service Desk at 801-863-8888 to report the uninitiated login request and have your password changed. This allows IT security professionals at UVU to monitor any suspicious activity happening through your account.

Can I set up my computer to remember me, or will I need to always ust two-factor login to be protected?

Duo two-factor login offers you an option to remember your web browser for 24 hours. You can enable this by selecting the checkbox that reads "Remember me for 24 hours" on the Duo login prompt in your web browser. This setting is ber browser, not per device. Clearing your browser of cookies/history will reset this option and require you to do two-factor login again even if the 24 hours have not elapsed.

If you have automatic push set up, you must:

  1. First, click on "Cancel" in the bottom right corner of the screen before acknowledging the login on your device.
  2. Then, click on the "Remember me for 24 hours" button.
  3. Wait about 30 seconds and then click on the "Send me a push" button and your 24 hours will start. When your 24 hours expire, you'll need to do the two-factor login process again to start another 24 hour period.

Note: Each computer and each browser requires separate authentication. It only remembers 24 hours on the device and browser you set it up on.

Will this work with a flip phone?

If you cannot use a fob or other method then yes, Duo can use a phone call rather than an app notification. To do so you will need to email Daniel Dayley to receive an exception.

Will UVU reimburse me for data usage or buy me a phone to use for Duo?

No. The Duo rollout will have no impact on cell phone policies and stipends at UVU. It also does not require cell data to be used. If you would like to get a key fob, request one using the link above.

I left my device at home. What can I do to log in?

We recommend that you enroll a second device as a backup. This can be a second mobile device like a tablet or a Duo key fob. If you do not have a second device set up, please contact the UVU Service Desk at 801-863-8888.

I lost my device. What should I do?

If you have a second device set up, please use the "My Settings & Devices" link in the Duo interface to delete that device from your Duo account. If you do not have a second device set up, please contact the UVU Service Desk at 801-863-8888.

I checked remember me but it's not working. What do I do?

If you are using Internet Explorer, it may be set to delete your browser history when you close the program. This also deletes your cookies, which is what Duo uses to remember you. Under the "Settings" menu, select "Internet Options." On that dialog, under the "Browsing history" section, ensure that the checkbox "Delete browsing history on exit" is NOT checked. This will ensure that the required cookies are saved to remember you.
