- A 15 GB individual storage limit will be placed on all UVU Google Workspace accounts.
May 6, 2023
- MY.UVU.EDU Gmail accounts will stop receiving new email messages. New messages will be redirected to Outlook.
- The MY.UVU.EDU Google Workspace will no longer be used except to download important data.
- All users of the UVU.EDU Google Workspace will begin using [email protected] to sign in.
- The Gmail app will be removed from the UVU.EDU Google Workspace.
May 10, 2023
- Summer semester begins.
- All processes, documentation, and curriculum should no longer reference MY.UVU.EDU Google Workspace from this date forward.
August 11, 2023
- Access to the MY.UVU.EDU Google Workspace will be closed.
- Students should download any important data before this date.

What is happening with the MY.UVU.EDU Google Workspace?
- UVU will be shutting down the MY.UVU.EDU Google Workspace (formerly called Google Suite). This includes your MY.UVU.EDU Gmail account and any files you may have stored on the MY.UVU.EDU Google Workspace.
Why is this happening?
- In 2020, we undertook the complex task of unifying students, faculty, and staff onto the Microsoft 365 productivity suite. Recent changes to Google policies for higher education reinforced this decision.
When and how will I be impacted?
- Your account will be impacted in three ways.
- On March 10, 2023, a 15 GB individual storage limit will be placed on all accounts.
- On May 6, 2023, your MY.UVU.EDU Gmail account will stop receiving new mail messages.
- On August 11, 2023, access to your MY.UVU.EDU Google Workspace account will cease.
What should I do?
- If you have important emails or files on your MY.UVU.EDU Google Workspace, you will need to download your data before the account is closed on August 11, 2023.
Why is storage being limited to 15 GB?
- Google used to offer unlimited free cloud storage to universities across the U.S. but recently changed its policies. As a result, UVU had to implement a storage limit to ensure continuous functionality of the Google Workspace productivity suite for all users.
How do I reduce my storage?
- Google has outlined a few simple steps to reduce your google workspace storage.
What will happen to mail that is sent to my UVU Gmail account after May 6, 2023?
- After May 6, 2023, any new mail that is sent to your MY.UVU.EDU Google account will automatically be redirected to your UVU Microsoft 365 account.
Will UVU move my files from the MY.UVU.EDU Google Workspace for me?
- No. MY.UVU.EDU Google Workspace users are responsible to manually download any important files and emails.

What is happening to the MY.UVU.EDU Google Workspace that students use?
- The MY.UVU.EDU Google Workspace will be retired prior to the fall 2023 semester. Students will have the summer to download any important files and forward any important mail. Students registered for classes starting in the summer of 2023 will use the UVU.EDU Google Workspace when it is required for their courses.

- On May 6, 2023, faculty and staff will begin using their UV ID (instead of their name) to sign into the UVU.EDU Google Workspace. Additionally, the Gmail app in the Google Productivity suite will be disabled.
- Starting with the summer semester, any references to Gmail or the MY.UVU.EDU Google Workspace should be removed from any processes, documentation, or curriculum.
What if my curriculum requires students to access the Google productivity suite?
- While UVU is unifying around the Microsoft 365 productivity suite, we recognize that certain curriculum requires the use of Google’s productivity suite.
- Students registered for classes starting in the summer of 2023 will have an account in the UVU.EDU Google Workspace.
- In these instances, faculty will inform students how to access and utilize their UVU.EDU Google Workspace account.
Why is my Google sign-in changing to my UV ID on May 6?
- Instead of signing in with your name and then authenticating with your UV ID, both steps will use your UV ID. This sign-in practice is standard in the industry and will make the process more streamlined and uniform.

Why is the Gmail app being removed?
- Gmail will no longer be provided to UVU users as part of our Google Workspace environment. The Gmail app will be removed to avoid confusion about where students will receive official UVU communications. Students will receive (and send) all UVU-related email using their Microsoft 365 provided Outlook account.
My Google sign-in is changing to my UVID. Will people see my UVID instead of my name, and if so, will file sharing be impacted?
- No. When you perform any kind of file sharing within the Google Workspace, your first and last name will still appear as it does today. Any file sharing and permissions you currently have will continue to work as before.
My Google sign-in is changing. Will this impact any third-party websites that I signed in to using my UVU Google account?
- Yes, possibly. You may need to work with third-party websites on a case-by-case basis to resolve potential issues.
My Google sign-in is changing. Will that impact my Google email address?
- Yes. Your UVU email address will become an alias of your new [email protected] address within the Google environment, enabling files shared with your UVU email address to be accessed from your UVU.EDU Google Workspace account.
