Do I have to use UVU Catering for my event?

Yes. No outside food or beverage may be brought to events in accordance with UVU Policy 425 4.6.3. All food must be obtained through UVU Dining Services and our on-campus affiliates.

How do I know what spaces I can schedule on campus?

How does my club schedule an event?

Student clubs can learn more about event scheduling on the Clubs website.

How far in advance can I schedule an event?

Scheduling windows vary based on the event requester and are based around the academic calendar. Generally, the scheduling window opens one month before the semester begins. Please visit the appropriate page for exact information and to learn when you can schedule your event.

How do I search in 25live?

25Live training is available through UVU Learn. Please note that you must select “Enroll” to begin the training.

How late can I make changes to my event?

No changes are permitted unless there is sufficient time to accommodate for your requested changes.

  • 3 business days for simple events
  • 5 business days for complex events
  • 1 week for major events

Why can’t I find my department as an organization?

Organizations can be found based on your area’s AVP level from Banner in 25Live. Please search for your AVP level title to add the organization to your request.

Why can’t I find the room I want to reserve in 25Live?

Locations may not appear in a search if they are unavailable at the time you are requesting. Some locations are not visible to request due to security and approval processes associated with the location.

Select “Help Me Select an Event Location” in the location field of your request and provide your preferred location, as well as a backup venue in case the first is not available.

If your room is unavailable and your event date cannot be moved, choosing “Help Me Select an Event Location” will be your best option. If you want a specific location, you can try moving around the dates to find the availability of the room.

How do I create a recurring event?

25Live training for submitting requests for recurring events can be found on UVU Learn. Please note that you must select “Enroll” to begin the training.

How do I add multiple rooms to my event?

Once in the 25Live request form, you may type in the location of the first space you would like to reserve under the “Locations Search” box. Click “Reserve” once you find your desired room. You may then go back to the locations search bar and type in another location, following the same steps required when reserving the first room.

Can we bring our own decorations?

Yes. Any necessary time to load in materials and decorate must be coordinated with your assigned event coordinator to ensure proper time has been scheduled. Any decorations to be hung or placed on any permanent building features must be approved.

What accommodations are available if we are having a special guest appear at our event?

Event Services must be alerted of special accommodations for event guests and attendees. We can schedule green spaces for guests.
