Policy Pipeline Updates: Policy Actions Approved at October 28, 2021, President's Council

On Thursday, October 28, 2021, President’s Council approved the following policy actions:  

Policy 503 Add/Drop/Withdraw

Approved Actions:

  • Entrance to Stage 1 Drafting (regular policy process) 
  • Entrance to Stage 2 Board of Trustees Review (temporary policy process)  

Summary: The temporary policy is approved for a limited scope that addresses how withdrawals from class are approved. The limited scope revision will eliminate the requirement for a student to have chair approval to withdraw from a class. This requirement placed a registrar duty on the shoulders of chairs, which was not appropriate. This requirement also placed a burden on students. Currently in the policy, students, regardless of whether they attend online, on campus, or at remote locations are required to obtain the signature and stamp approval of multiple chairs (in many cases) and then ensure the documentation gets properly routed to the Registrar’s Office. Not every student has equal ability to accomplish this.

Policy 522 Undergraduate Credit and Transcripts

Summary:Revisions will include at least the following:  

  • Clarify a student’s right under FERPA to request an amendment to their education records. 
  • Add “Institutional Certificates” as a degree type.
  • Modify policy surrounding a student’s ability to earn multiple academic associate degrees at UVU.
  • Clarify how dual majors work. 
  • Clarify credits earned for language proficiency.
  • Modify policy related to internships applying to a certificate.
  • Replace “Academic Renewal” with student record adjustment and refund procedure. 
  • Clarify acceptance of credits from “regionally” vs “nationally” accredited institutions

Policy 523 Grading

Summary: Changes may include the following:  

  • Update information about the role of the Council of Academic Standards and update the name of the council in policy. 
  • Move items currently in Procedure section to the Definitions section. 
  • Clarify procedure for student grade appeals. 
  • Clarify use of "I" and "T" grades. 
  • Clarify faculty grade change procedure and timing. 
  • Discontinue the use of "E" grades and change to "F" grades. 
  • Discontinue the use of "UW" grades. 
  • Course Repeats: change from “latest grade” to “highest grade."
