Who does this apply to? Employees involved with GRAMA requests and university community members who may wish to make GRAMA requests

How is this policy being revised? Policy 133 will be updated to reflect UVU’s current GRAMA request process and include additional legal requirements from the GRAMA Act relating to requests and appeals.

Policy 134 Records Retention

Who does this apply to? University organizational units that are required to retain records

What will this policy entail? Policy owners realized there was a need for a separate policy to govern how record retention schedules are developed and maintained and how the records are submitted to the state archives office. This policy will outline how UVU will comply with its record retention requirements pursuant to Utah Code Ann. § 63A-12-101, et. seq. and the Utah Government Records Access and Management Act (GRAMA), Utah Code Ann. § 63G-2-101, et. seq.

What will this policy entail? UVU needs clear, actionable guidelines for the procurement, governance, and use of institutional AI tools by all UVU employees. This policy will govern both the adoption and ongoing use of AI technologies to ensure consistent oversight and compliance. It will describe criteria for approved tools and contexts for institutional AI use.

What will this policy entail? Dx has a mandate to create and enforce standards for validating and adopting technology. This policy will formalize this responsibility to ensure all technology adoptions align strategically with the University’s strategic and enterprise architecture goals, protect its brand and reputation, and support its financial objectives.

How is this policy being revised? The revision of this policy involved splitting the old policy and moving content to Policy 648 Faculty Personnel Reduction and Policy 649 Faculty Remediation, Sanctions, and Dismissal for Cause. This version contains updates to how the separation of faculty due to program or unit discontinuance and for other reasons not covered by Policy 649 or this policy for tenure-track faculty are to be conducted.

Who does this apply to? All university employees and students 

Why is this policy being deleted? This policy is being deleted because

  • the policy was created at a time when the electronic aspects of Academic Freedom were less well understood than they are today
  • the policy doesn’t cover anything not already covered in other policies, given today’s understanding of electronic technology and Academic Freedom

Now that this policy is in Stage 3, what does this mean for me? Once the policy is approved for Stage 3, it will go to the Board of Trustees for final approval and will then be removed from the manual.

Policy 165 Discrimination and Harassment

Who does this apply to? All university employees and students 

What changes are being made to this policy? A gap in current University policy limits stalking coverage to cases based on sex or other protected classes, conflicting with broader federal requirements under VAWA and the Clery Act. This creates legal and compliance risks. Proposed changes will explicitly prohibit all forms of stalking, regardless of motive, ensuring alignment with federal law and consistent institutional response.

What does this mean for me? Once the policy is approved, it will go to Board of Trustees and then be entered into the manual.

The policy sponsors and stewards for these policies requested that Stage 2 University Entity Review be extended an additional 60 days (Stage 2 will now end Dec. 5) so faculty have more time to review:

This is consistent with Policy 101 section 5.10.4.3:

At the request of the policy sponsor or policy steward and at the discretion of President’s Council, university governance entities may be granted an additional 60 days to review Stage 2 policy drafts.
