International Travel Guidelines

International Travel Guidelines

  • All travel requirements must be completed at least 4 WEEKS prior to departure. Last minute registration(s) may not be processed on time and may impact  travel plans. 
  • All UVU faculty, staff and students who travel abroad on bona-fide university business are required to register their travel plans through Concur. To ensure the safety of individuals, University policy requires travel registration and insurance through the Office for Global Engagement.
  • All approvals for international travel will be tentative and subject to reversal at any time.It is critical that University departments and employees planning international trips submit a travel request in Concur, and receive full approval of that travel request, before making any travel arrangements. 
  • University Policy follows U.S Department of State and CDC International Travel Advisories.
    • Travel to countries listed as Level 4  on either the U.S Department of State or CDC websites, will not be approved.
    • High Risk Travel Waiver is required for travel to countries listed as Level 3 
    • Be aware that travelers must comply with entry requirements issued by the foreign governments.
  • Departments and/or individual travelers (faculty/staff/students) are responsible for all non-recoverable costs of cancelled programs. Travelers must comply with the requirements established in all University policies, including policies 142251, & 252.
  • Passports should have at least six months of validity when traveling internationally.  Apply for Passport Here
  • Purchase of airfare via Christofferson Trave is recommended but not required.
  • Concur will only be approved after the funds to cover International Travel Insurance are collected.

UVU students planning to travel abroad (Non-study abroad)

These steps are for students traveling internationally on: Field Trips, International Engagements, Leadership Trips, etc.

  1. Complete the Student International Travel Registration, including the payment of the $25 travel registration fee.
  2. Sign & submit the Assumption of Risk & Release (online form). 
  3. Complete the Export Control (online form), additional information about export control is available here.
  4. Complete a High Risk Travel Waiver if traveling to a destination listed as a Level 3.

MBA International Travel Registration

These steps are for MBA Students traveling abroad:

  1. Complete the Student International Travel Registration, choose Global Business MBA from the dropdown menu. 
  2. Sign & submit the Assumption of Risk & Release (online form). 
  3. Complete the Export Control (online form), additional information about export control is available here.
  4. Complete a High Risk Travel Waiver if traveling to a destination listed as a Level 3.

Global Student Teaching (School of Education)

These steps are for School of Education students traveling abroad:

  1. Complete the Student International Travel Registration, choose Global Student Teaching from the dropdown menu. 
  2. Sign & submit the Assumption of Risk & Release (online form). 
  3. Complete the Export Control (online form), additional information about export control is available here.
  4. Complete a High Risk Travel Waiver if traveling to a destination listed as a Level 3.

Non-UVU Participants/Guests

Students are not permitted to take personal guests on UVU-Sponsored Travel

International Health and Evacuation Insurance

You will receive an email from Customer Service from UVU's insurance provider, GeoBlue, that instructs you to register using a Certificate Number provided in the email so that you can print out an insurance ID card.  For some international internships and/or international travel programs, you will be required to pay for this insurance. You will receive an email with instructions for paying for the insurance from [email protected] if you are responsible to do so.

Note: Students planning travel to regions under US Department of State Travel Warning or CDC Warning Level 3, must submit a High Risk Travel Waiver/Release form.
